Refund Policy

Scope

This policy covers deposits and fees for portfolio snapshot ledger sessions, reconciliation reviews, custody handover ledgers, and quarterly retainers booked with Data Processor Digital. This website does not sell physical products or software licences.

Eligibility

Refunds apply to session fees and deposits according to the timing and conditions below. Informational rate pages are not purchases.

Timeframe and cancellation

  • Cancel more than 7 days before the scheduled session: full deposit refund.
  • Cancel 3–7 days before: 50% of the deposit retained; remainder refunded.
  • Cancel within 72 hours or fail to attend (no-show): deposit is non-refundable.
  • If we cancel due to facilitator illness or room unavailability: full refund of sums paid for that session, or a free reschedule at your option.

Partial refunds

If a session begins but cannot be completed because of our room or equipment failure, you may choose a partial refund proportional to unfinished time or a free continuation slot. If a session stops because a device cannot be unlocked or a battery fails on your side, fees for time already used remain payable; unused prepaid time for a multi-hour booking may be credited toward a follow-up within 60 days.

Non-refundable items

  • Consumable materials we prepare at your request after the deposit (custom dual-language heading packs already printed)
  • Retainer sessions that lapsed without rescheduling within 30 days of the original date
  • Third-party conference room fees already incurred on your behalf when you cancel late

Rescheduling

One complimentary reschedule is allowed if requested at least 72 hours ahead. Further reschedules may incur an administrative fee of HK$400.

Work already started

Preparation questionnaires and draft label glossaries started after deposit are part of the engagement. If you cancel after preparation has begun but before the room date, we may retain a reasonable preparation portion (up to 20% of the session fee) in addition to timing rules above.

Process and method

Email contact@data-processor.digital with your booking reference and reason. Approved refunds are returned by the original payment method (bank transfer or cheque) within 14 business days. We do not process cash refunds at the office for cardless transfers.

Deposits

A 30% deposit reserves the appointment. The balance is due on the session day. Deposits are applied to the final invoice when the session completes.
